Distributors and resellers often receive dozens of supplier quotes every day. Turning those incoming supplier quotes into customer quotes entails manually typing the product details, performing complex pricing calculations based on a variety of factors such as discounts, term, marks up or margin rules. It’s slow, repetitive, and prone to errors.
Import Manager changes that.
It allows distributors and resellers to import quote data in bulk directly from Excel or CSV files — eliminating the need to rebuild quotes from scratch.
Users can simply upload a CSV file or copy and paste data from the supplier quote and map it directly into the system. No more retyping — saving time, reducing mistakes, and helping your team move faster from data to deal.
The import routine can be configured to apply set rules using Microsoft standard actions.
In this blog, we will walk through an example use case: an IT reseller importing a CSV quote from a distributor, and see how Import Manager works seamlessly with our quoting solution, Quote Manager CPQ.
We show the two main approaches to using Import Manager.
How to upload a complete CSV or Excel sheet or,
Grabbing a section of a table and simply pasting the data into Import Manager.
#1 Import Method (For Simple Quotes): Upload a CSV or Excel File
1. Go to the Dynamics 365 Quote Header and click “Import Manager” in the sub-grid.
You cannot do this using the standard importing feature from Microsoft! To import record into a sub grid you will need to map the records to the header record name, this is not an easy task to get right.
2. Switch the toggle on if the table includes a header row.
3. Upload the simple quote file into Import Manager.
4. After uploading the file, map the header fields to the system columns.
You can see the data in the Quote Manager and watch the data import all with same interface, in standard Dynamics you will have to navigate away from the record to go to the import area of Dynamics.
Error Handling Feature
In the Cost Price column, there are two invalid data fields. This numeric column does not support exclamation marks.
Import Manager can identify data errors—for example, “Cost Price” (numeric only) is in the wrong format. You can correct the fields in the original Excel sheet and re-import the updated data.
Once the fields are updated correctly, the lines will be imported successfully.
Product lines in Dynamics 365 are automatically updated.
The products are now also available in Quote Manager.
Some suppliers’ quotes have their own templates and styling. In this case we can see some header information which makes importing impossible.
However in Import Manager you can simply select the table within the CSV or Excel sheet and copy (the pricing table) from the templated quote.
Paste it directly into the Import Manager grid.
Then repeat the steps shown previously—map the data, import the rows, and see the updated lines in Dynamics 365.
